PRESIDENT:

  • Shall preside over all Annual General Meetings.
  • Shall represent the Club at official functions. If he/she is unavailable he/she will pass this responsibility onto the Chairperson, a Vice President or a Life Member.
  • Offer counsel to committee members.
  • Liaise with older members of the Club and encourage such members involvement in Club activities.
  • Whilst the President may give advice and counsel a meeting, he/she has no power to direct what is to be done.

CHAIRPERSON:

  • To preside at Executive Committee Meetings.
  • Be adequately acquainted with the rules of the Club and believe in the objects of the Club.
  • Act as spokesperson for the Club.
  • Ensure that meetings are conducted in accordance with the rules of the Club
  • Shall have a deliberative and a casting vote.
  • Declare meeting closed.
  • Vouch for the correctness of minutes by putting his/her signature to them.
  • Prepare Chairperson’s report for presentation at the Annual General Meeting.


TREASURER:

  • Keep proper books of accounts for all general account transactions.
  • Supervise or keep proper books of accounts for Bar, Servery/Canteen, Project, and Social accounts.
  • Prepare trial balance for all accounts for all Executive Committee meetings.
  • Prepare and submit to the Annual General Meeting of the Club a balance sheet and Profit and Loss Statement duly audited.
  • Prepare budget to be submitted to Executive Committee for current year.
  • Collect all monies due to the Club for subscriptions.
  • Supervise the collection of all monies due to the Club for the sale of goods purchased for resale to Club members.
  • Chair the Finance Sub-Committee Meetings.
  • Comply with any other directions of the Executive Committee.

HONORARY SECRETARY:

  • Notify all Club members of the date, time and place of the Annual General Meeting or Special General Meeting.
  • Notify committee members of the date, time and place of Executive Committee meetings.
  • Prepare agendas for all Executive Committee, Annual General and Special General Meetings.
  • Conduct and file all correspondence of the Club and generally comply with all directions of the Executive Committee.
  • Maintain a record of all relative information of all members of the Club and see that each playing members of the Club is registered in due time with the Lacrosse South Australia Inc.
  • Forward all information from the Lacrosse South Australia meetings to Club members.
  • Prepare an annual report for presentation at the Annual General Meeting.
  • Keep correct minutes of proceedings at Annual General and Special General Meetings.
  • Keep correct minutes of all Executive Committee Meetings.
  • The minutes of meetings shall be recorded and distributed by the secretary. Then be archived.
  • Be adequately acquainted with the rules of the Club and believe in the objects of the Club.
  • Keep a copy of the Rules and By-Laws of the Club and add all additions and amendments.
  • The Secretary shall be the Public Officer of the Club.
  • The Secretary shall each year apply for the renewal of the Bar Licence on behalf of the Club, and shall be the only authorised permit holder of the Club.
  • Keep a record of all keys held by officials of the Club.
  • Liaise with officials, coaches, club affiliated bodies, government bodies and committees.
  • Obtain Lacrosse South Australia’s sanction for Club events as required.
  • Process clearance applications as agreed by the Executive Committee.
  • Delegate work to Executive Committee members and Sub-Committees.

ASSISTANT SECRETARY:

  • Assist the Honorary Secretary in performing his/her duties prescribed by the Rules of the Club.
  • Keep correct minutes of proceedings of Executive Committee.
  • Organise the collection of match report forms from the team managers or coaches and forward original to the executive officer of Lacrosse South Australia and copies to the Club Secretary.
  • Be adequately acquainted with the Rules of the Club and believe in the objects of the Club.

MEN’S AND WOMEN’S PLAYING AND COACHING:

MEN'S & WOMEN'S DIRECTORS:

  • The playing and coaching sub-committee shall be chaired by one of the Executive Committee members holding the Playing and Coaching portfolios.
  • Attend Lacrosse SA Men’s or Women’s Competition Committee meetings monthly, or as set, representing the club and the views of the Executive committee.
  • Attend monthly club committee meetings and report on the activities, discussions and recommendations of the Playing and Coaching sub-committee.

PLAYING AND COACHING SUB-COMMITTEE:

  • Shall include members such as coaches, managers, players and other interested persons.
  • Keep proper minutes of all meetings.
  • The minutes of all sub-committee meetings shall be recorded and distributed by the secretary. Then be sent to the Executive Secretary for archiving.
  • Make recommendations to Executive Committee on the following;
    • Clearances
    • Reports
    • Complaints from other clubs
    • Needs of players and coaches
    • Player’s teas (Dinners) and team meetings
    • Association rule changes
    • Training attendances
    • Problems relating to team selection
  • Disseminate information to players from other committees.
  • Formulate coaching standards.
  • Liaise with magazine editor re scores etc to go in magazine.
  • Recommend to Executive Committee the appointment of team managers and ensure they are aware of their duties and that these duties are carried out properly.
  • Recommend to Executive Committee the appointment of Senior Coaches for all branches of lacrosse.
  • Attend to all matters concerning players and coaches.
  • Comply with other directions of the Executive Committee.

JUNIORS:

JUNIOR DIRECTOR:

  • The Junior Lacrosse Sub-Committee shall be chaired by the Executive Committee member holding the Junior Lacrosse portfolio.
  • Attend Lacrosse SA Junior Competition Committee meetings monthly, or as set, representing the club and the views of the Executive committee.
  • Attend monthly club committee meetings and report on the activities, discussions and recommendations of the Junior sub-committee.

JUNIOR SUB-COMMITTEE:

  • Shall include such members as junior team coaches and managers, schools liaison officer, interested parents and any other member interested in junior promotion.
  • Minutes of all meetings shall be kept in proper minute’s book.
  • Organise and formulate a programme for a schools competition.
  • Organise a recruiting drive for junior players.
  • Recommend to the Executive Committee the appointments of junior coaches.
  • Formulate a standard for junior coaching and training.
  • Make recommendations to Executive Committee for equipment required by juniors and supervise the storing, collection and caring of such equipment.
  • Delegate for the collection of junior membership fees to be forwarded to the Treasurer.
  • Encourage the involvement of parents.
  • Organise a function to raise funds for junior representatives.
  • Organise a function for the presentation of junior trophies.
  • Liaise with Bar and Servery Managers and Social and Clubrooms and Grounds Sub-Committees for the above two functions.
  • Organise the successful participation for junior teams at the junior lightening carnival.
  • Organise any other function associated with Junior Lacrosse.
  • Comply with other directions of the Executive Committee.

SCHOOLS LIAISON DIRECTOR:

  • Attend scheduled Junior Sub-Committee Meetings as required
  • Identify schools to liaise with and work closely with physical education teachers in schools to promote the Club
  • Maintain a database of key contacts
  • Maintain a plan of actions taken, results and ongoing activities
  • Pro-actively organise and develop initiatives to promote Junior Lacrosse in the school communities. For example ‘Lightning Carnivals’ and ‘Come and Try Days’
  • Arrange ‘guest coaching sessions at local schools
  • Liaise with LSA Development Officers in the work that they undertake with local schools
  • Maintain promotional material to be distributed by school clinic coaches.

PROMOTIONS:

PROMOTIONS DIRECTOR:

  • The Promotions Sub-Committee shall be chaired by the Executive Committee member holding the promotions portfolio.
  • Attend monthly club committee meetings and report on the activities, discussions and recommendations of the Promotions sub-committee.

PROMOTIONS SUB-COMMITTEE:

  • Should include members such as magazine editor, social media manager, assistant editors, team managers and other interested persons.
  • Keep proper minutes of all meetings.
  • The minutes of all meetings shall be recorded and distributed by the secretary. Then be sent to the Executive Secretary for archiving.
  • Supervise the production of the monthly newsletter.
  • Organise for regular articles to appear in local newspapers.
  • Seek sponsorship for the Club.
  • Promote our Club throughout the State eg arrange for banners, flags and merchandise such as; Jackets, Hats etc.
  • Produce information that may be used in schools to promote our sport and Club.
  • Arrange for articles to be placed in other Lacrosse or sporting newsletters.
  • Arrange for advertisements to be placed in our newsletters.
  • Advertise Club functions in newsletters and local newspapers etc.
  • To comply with other directions of the Executive Committee.

SOCIAL ACTIVITIES:

SOCIAL DIRECTOR:

  • The Social Sub-Committee shall be chaired by the Executive Committee member holding the Social Activities portfolio.
  • Attend monthly club committee meetings and report on the activities, discussions and recommendations of the Social sub-committee.
  • Social Sub-Committee Chairperson shall exercise communication between Bar Manager, Canteen Manager and Clubroom and Grounds Sub-Committee re ordering of drinks, food etc and availability of clubrooms.
  • Social Sub-Committee Chairperson shall exercise communication between Executive Committee members of Playing and Coaching committee, Junior Committee and Promotion Committee so that all relative information is advertised in the club magazine.

SOCIAL SUB-COMMITTEE:

  • Shall consist of any interested club member.
  • Keep proper minutes of all meetings
  • The minutes shall be recorded and distributed by the secretary. Then be sent to the Executive Secretary for archiving.
  • The Social Committee chairperson may designate members of the social committee to be in charge of separate sections of social activities.
  • Set a social calendar, for the year, to be approved by the Executive Committee. 
  • Organise social functions and record that the following work is delegated;
    • Type of function
    • Charges
    • Location
    • Entertainment
    • Food catering
    • Drink catering
    • Tickets
    • Supervision
    • Setting up
    • Cleaning up
    • Organise workers
  • The signatories of the social cheque account shall be the Treasurer, Social Executive Committee member and one other member approved by the Executive Committee if required.
  • A monthly financial report shall be prepared for the Treasurer to submit to the Executive Committee.
  • Comply with other directions of the Executive Committee

CLUBROOMS AND GROUNDS:

CLUBROOMS AND GROUNDS DIRECTOR:

  • The Clubrooms and Grounds Sub-Committee shall be chaired by the Executive Committee member holding the Clubrooms and Grounds portfolio.
  • Attend monthly club committee meetings and report on the activities, discussions and recommendations of the Clubrooms and Grounds sub-committee.
  • The Executive Committee member shall oversee that the Bar and Servery are running efficiently.
  • The Executive Committee member shall be responsible for the cleanliness of the clubrooms, male and female toilets, changerooms, store, bar and servery.
  • The Executive Committee member shall be responsible for the adherence of the clubroom rules and dress regulations as set out in By-Law Section 1. Rule 10.1.

CLUBROOMS AND GROUNDS SUB-COMMITTEE:

  • Shall include such members as Bar Manager or representative, Canteen Manager or representative, Clubrooms Manager, Grounds Manager and any other interested members.
  • Keep proper minutes of all meetings.
  • The minutes shall be recorded and distributed by the secretary. Then be sent to the Executive Secretary for archiving.
  • Prepare a roster for helpers in the bar. canteen and cleaning.
  • Delegate the responsibility of marking out the grounds.
  • Liaise with the East Torrens Payneham Baseball Club Inc. and the Corporation of the City of Norwood, Payneham, St. Peters on matters concerning the building and grounds.
  • Recommend to the Executive Committee improvements to clubrooms and running of bar and servery.
  • Deal with all matters arising from time to time regarding the use of club facilities – grounds and clubrooms.
  • Prepare monthly financial reports of bar and servery for the Treasurer to present to the Executive Committee.
  • Comply with other directions of the Executive Committee.

OFFICIATING DIRECTOR:

  • Promote club based umpiring program to the East Torrens Payneham Lacrosse Club
  • Coordinate and encourage club participation in the club based umpiring program
  • Provide support and evaluation on match day
  • Coordinate club based attendance and participation in umpiring training sessions
  • Support Coaching staff by providing coaching resources, materials as required
  • Assist with the development of all club based umpires
  • Oversee training programs
  • Offer assistance for training skills and drills as required
  • Arrange / present approved coaching and training materials for coaches and team ages groups as required
  • Recommend new equipment where required
  • Liaise with all coaches, providing regular feedback on training and match days
  • Match day support to umpires 
  • Liaise with the Men’s, Women’s and Junior Directors to ensure team umpires are nominated at the start of the season.

RECORDS:

RECORDS DIRECTOR:

  • The records sub-committee shall be chaired by the Executive Committee member holding the Records portfolio.
  • Submit a monthly report to committee on the activities, discussions and recommendations of the Records sub-committee.

RECORDS SUB-COMMITTEE:

  • Should include members such as the Secretary, Equipment Officer, Historian and other interested persons.
  • Keep proper minutes of all meetings.
  • The minutes of meetings shall be recorded and distributed by the secretary. Then be sent to the Executive Secretary for archiving.
  • Shall keep proper records of;
    • Senior Men’s and Women’s Uniforms
    • Junior sticks and equipment
    • All ground and line marking equipment
    • Office equipment
    • Lacrosse sporting equipment
    • All other Club assets
  • Shall keep records of all match report cards.
  • See that all Team Managers have first aid equipment, match report cards, balls, uniforms etc for each match.
  • To comply with other directions of the Executive Committee.

PATRON

  • The Executive Committee at its discretion may elect a Club Patron.
  • The patron of the Club does not have any executive powers, and can not be directly involved in the administration or financial dealings of the Club.
  • As a supporter of the Club, a patron will allow the Club to publicise their patronage.
  • The patron’s advice can be sought, but there is no obligation to act on this advice.
  • It is desirable to keep the patron advised and informed of important matters, and to advise of the progress of the Club. Unless otherwise agreed, the patron’s appointment continues until the holder relinquishes it.
